Confirm pickup details and manage travel-day changes
Keep your operator instructions and communication plan ready before arrival.
Read the meeting instructions
Open the operator’s confirmation before the day of travel and identify the exact meeting instructions. Check whether you should go to a desk, a named exit or another agreed location. If the instructions mention a driver sign or a contact message, read how the operator describes that process. Do not assume the vehicle can stop at any terminal door or that a driver will know where you are without communication.
Keep the booking reference and the operator’s stated contact channel accessible. Confirm whether the contact is for booking changes, pickup problems or both. If someone else made the reservation, ensure the traveler has the relevant instructions and that the operator has the agreed contact details. Share only what is needed for the pickup; a group itinerary does not need to expose everyone’s unrelated travel or personal information.
Communicate a change clearly
If your flight, terminal or pickup address changes, tell the operator using the method in the booking conditions. Include the existing reference, the changed detail and the response you need. Ask whether the original booking remains valid or needs a revised confirmation. Keep the operator’s answer rather than assuming a message marked sent has been read, accepted and reflected in the driver’s instructions.
On arrival, follow the agreed meeting plan and contact process. If baggage collection takes longer than expected, use the operator’s instructions for notifying them and check the waiting terms already agreed. If you cannot find the meeting point, describe your current public location clearly instead of moving repeatedly between exits without telling anyone. Do not treat an estimated flight arrival as proof of a driver’s current location.
Document issues and close the record
If the pickup does not happen as confirmed, contact the operator through the provided channel and record the response. Keep the time, location, booking reference and concise description of the issue. If you arrange an alternative, retain the related receipt and correspondence where relevant. Avoid assuming a replacement journey or reimbursement has been authorized unless the operator explicitly confirms it under the applicable conditions.
After the journey, mark the booking according to what actually happened: completed, canceled or still unresolved. Save receipts and any final message about extra charges or a reported problem. For a return trip, review the second leg independently and confirm that any change to the first leg has not left the return details unclear. A complete record makes the next inquiry easier without presenting a personal checklist as live vehicle tracking.
