Airport Transfer

Prepare an airport transfer request an operator can confirm

Specify the journey and vehicle needs before requesting a price.

Describe both ends of the journey

Write the pickup point and destination in a way the operator can identify without guessing. At an airport, include the airport name or code and terminal when known. For a hotel or venue, use the full property name and location so similarly named places are not confused. You can begin an inquiry with a destination area, but a final quote and confirmation should make clear which exact route is covered.

Add the local travel date and time, and say whether that time means scheduled flight arrival or requested vehicle pickup. If you need both directions, create a separate line for each leg. Do not assume the return automatically uses the same terminal or passenger count. Keep the flight number separate from a private airline booking reference; the operator can tell you which details are actually needed to arrange the service.

Describe the complete passenger load

Give the exact number of passengers, then describe baggage separately. Count suitcases, cabin bags and unusually large items rather than saying normal luggage. Include a folded pushchair, sports bag or mobility device where relevant. If dimensions matter, use measured figures. A vehicle category or seat count alone is not enough to know whether the complete party and its belongings can be accommodated comfortably under the operator’s proposed arrangement.

Raise special arrangements while requesting the quote. For child seating, provide the age or size information the operator asks for and request confirmation of the proposed seats. For accessibility, describe the practical boarding or equipment requirement without sharing unnecessary medical details. Ask whether assistance is included and what the vehicle can accommodate. Leave anything not accepted in writing as an open question instead of assuming a general note has been approved.

Ask for a complete response

Request a written total showing the currency and the items included. Ask about waiting time, flight monitoring, parking, tolls, additional stops and other charges relevant to your route. A provider may handle these differently, so use questions rather than importing terms from another service. Include the cancellation and amendment rules in your review, especially when the flight, group size or pickup address may still change.

When the quote arrives, compare it with the brief before accepting it. Check route, dates, passengers, bags, vehicle arrangement and special requests. Ask what action converts the quote into a confirmed reservation and what confirmation you will receive. Save the final version of the agreed details. Your personal brief helps prevent omissions, but it does not itself book a vehicle or establish that an operator has accepted the journey.
